Privacy policy

Last updated October 25, 2026

BuildTrack on this site is run by Platinum Technologies LLC ("we"). This policy explains what information BuildTrack collects, why, who it's shared with, and the choices you have.

Two kinds of information

  • Account information about the people who sign in: name, email, phone, job title, role, and sign-in history. We decide how this is used.
  • Project information a building company puts into BuildTrack: house addresses, photos, client and subcontractor contacts, contracts, daily logs, change orders and signatures. That company decides what goes in and who sees it, and we handle it on its behalf. If you're a homeowner or subcontractor and want to see, correct or remove information about you, contact the builder you work with; we'll help them do it.

What we collect

  • What you type in or upload, including photos, files and on-screen signatures.
  • Sign-in and security records: the time of each sign-in, your IP address and browser, failed attempts, and changes to accounts and settings. We keep these to protect accounts and investigate problems.
  • Company details: company name, plan and trial dates.
  • Information saved on your device so BuildTrack works with weak or no signal. See the cookie notice.
  • We don't use advertising or usage-tracking tools on this site.

How we use it

  • To run BuildTrack: show each company its own projects, keep its people in sync, and send invites, password resets and alerts.
  • To keep it secure: two-step sign-in, detecting suspicious sign-ins, and keeping a change history the company's admins can review.
  • To provide support, and meet legal obligations.

We don't sell personal information, share it for advertising, or use project information for anything except running BuildTrack for that company.

Who we share it with

Only the service providers BuildTrack needs, each bound to use it just for that purpose:

  • Our hosting provider, which stores the server and its backups.
  • Authorities, if the law requires it, or to protect people or property from harm.
  • A buyer of our business, if that happens, under this same policy.

Inside a building company, what each person sees depends on the role an admin gives them. Companies on this server can't see each other's information.

How it's protected

Connections are encrypted, gate and lockbox codes are encrypted in the database, admins sign in with a second step, and backups are encrypted. No system is perfectly secure; if a breach affects your information, we'll tell you and the affected company as the law requires.

How long we keep it

  • Account and project information: while the company's account is open. Admins can delete projects, photos and users at any time.
  • Security records: 400 days, then deleted automatically.
  • Backups: about 14 days, then replaced by newer ones.
  • When a company closes its account, its information is deleted from the live server right away and drops out of backups as they expire. Admins can download everything first.

Your choices and rights

You can update your name and contact details on your account page, and a company admin can export or delete the company's information. Depending on where you live (for example California, or the EU and UK), you may have the right to ask for a copy of your information, correct it, delete it, or object to how it's used. Contact us and we'll respond within 30 days. We won't treat you differently for asking.

Children

BuildTrack is a business tool for adults and isn't meant for anyone under 16.

Changes

If we change this policy, we'll update the date above, and tell company admins by email or in BuildTrack about anything significant.
